ONE SYSTEM, EVERY ROLE

Everyone gets exactly the screen their job needs.

Six roles, six different screens, one shared truth underneath.

Station Managers

Tank entries, deliveries and today's variance — the station's whole day in one screen.

Reconciliation Officers

Every flagged variance across the network, reviewed and cleared with evidence — not guesswork.

Transport Officers

Every truck, every route, every discharge — tracked from the depot to the tank.

Accounts

Supplier bills, station invoicing and reconciliation, without re-typing a single figure.

Directors

Every station, one view — performance and compliance, without a single phone call.

Administrators

Roles, access and company configuration — under one login, safely separated per company.

REAL SCREENS, REAL WORKFLOWS

This is what a station manager sees every day.

Every nozzle reading, every product, every litre — entered once, at the station, and reconciled automatically.

Every reading comes with proof.

  • Entered once, at the station — PMS, AGO and LPG together
  • A photo of the meter, required before it's accepted
  • Submitted from a phone, reconciled automatically

A gap this small clears on its own. Anything larger gets flagged for a manager to explain — before it becomes a discrepancy nobody can trace back.

Runs every day

No end-of-month scramble — every tank is reconciled as the day closes.

Only real gaps surface

Small variances clear on their own; only the ones that matter reach a manager.

Every override explained

If a manager adjusts a figure, the reason is attached and kept — permanently.

COMPLIANCE

Confidence you can see coming.

Compliance isn't paperwork filed away from the operation. It's attached to it — visible before it becomes a problem.

Licences & permits

Every operating licence, tracked to its expiry — not discovered at a checkpoint.

Renews in 41 days

Truck documents

Insurance, roadworthy certificates and permits, attached to the truck that's loading today.

2 expiring this month

Calibration records

Tank dip charts and pump calibration history, on file for every station and every device.

Up to date

Fire safety and environmental permits held alongside the station they cover.

Audit history

Every adjustment, override and approval — who, when, and why — kept, not overwritten.

FREQUENTLY ASKED

Questions station owners actually ask.

How is our sales and tank data kept secure?

Every company's data is isolated from every other, by design — nothing is shared across accounts. Access is role-based, so an attendant, a station manager and an accountant each see only what their role needs, and every adjustment or override is logged against the person who made it.

What happens if the NPA/UPPF portal is down when we need to sync?

Sales orders sync directly with the NPA portal automatically. If the portal is unreachable, you can upload the sales order yourself instead — the system matches it against what's already loaded so nothing gets duplicated.

We already have years of records in spreadsheets. What happens to them?

Your historical tank, delivery and sales records come with you. Our team handles the import as part of onboarding, so nothing is lost and nothing has to be re-entered by hand.

Is this built specifically for how stations in Ghana operate?

Yes — it's designed around real delivery, discharge and reconciliation workflows, not a generic inventory template, and built for Ghana's fuel operations from the ground up.

Can different roles see different screens?

Yes. Station managers, reconciliation officers, transport officers, accounts and admins each get a screen built for their job, all reading from the same underlying data.
